Draft, pending legal review.
What we collect on this website, why, who sees it, and what you can ask us to do with it.
Last updated: [TBD: date of publication]. The Grit Gazette and this website are run by ReyesOne LLC, [TBD: postal address] ("we", "us"). Questions: [TBD: contact email].
The short version
- We collect only what you type into our forms and chats, plus a short-lived record of your IP address to stop abuse.
- No advertising trackers, no analytics, no cookies.
- We do not sell your personal information. Advertisers never get your name, email or any list of readers. We do use what subscribers tell us, added up into totals (for example, how many readers are gym owners or train at a BJJ academy), to show advertisers who reads the paper.
- Our chat assistants are AI. What you type in a chat is sent to our AI provider to write the reply.
What we collect and why
| Where | What we collect | Why |
|---|---|---|
| Subscribe form | Email (required); first name, where you train, your role and the type of gym (all optional); whether you want to hear about print delivery; your consent to the monthly email; and how you reached the page (for example, a QR code in the paper) | To send you the digital edition (which carries ads labeled "Advertisement") and, if you asked, news about print delivery; and, in totals only, to describe our readers to advertisers and pick the right edition of the paper for you |
| Gym copy request | Gym name, your name, email, phone (optional), street address, city, state, ZIP, approximate member count (optional), Google Business Profile link (optional), and how you reached the page | To check the request, deliver one printed copy to each location, and contact you about delivery |
| Chat (help, opinion pitches, advertising) | Everything you type, the assistant's replies, and any details you give such as your name, email, gym or company, role, an opinion pitch, or what you want to advertise | To answer you, pass your request to a person when needed, and review conversations to improve the service |
| Release form | Your full name, email, gym (optional), what you are giving us permission to print, the boxes you ticked, your typed signature, the date, and any photos you upload with it (the photos themselves, and any details stored in the files, such as when and where they were taken) | To keep a record of your permission to print your opinion piece, photos, or a story about you |
| QR codes in the paper | Which code was scanned, the issue month, and the time. Not your IP address or device details | To count which parts of the paper people use |
| Every request | Your IP address, held in our server's memory for up to about 20 minutes and not written to our files | To limit how many messages or forms one connection can send, which stops spam and abuse |
On your device
If you use a chat, your browser stores a random conversation code in local storage so the conversation is still there when you come back. It is not a cookie and is not used for tracking. The "New chat" button deletes it. Anyone who has that code can open that conversation, so do not share it.
Our fonts are served from our own site, so loading a page does not contact Google or any other font service.
Who we share it with
- Our AI provider, Anthropic. Chat messages, and the conversation so far, are sent to Anthropic's API to generate each reply.
- The person who runs the paper. New gym requests, opinion pitches, ad booking requests and chats handed to a person are sent to the publisher as a notification [TBD: notification tool, for example Slack], along with a daily summary.
- Our hosting provider [TBD: hosting provider], which runs the website and stores the data, and may keep its own server logs.
- Our email provider [TBD: email tool], once we start sending the digital edition.
- The publisher's AI assistant (Grok, by xAI). To review new requests and pitches from a phone, the publisher can see summaries of them through Grok: names, gyms and what was asked. Email addresses and phone numbers are removed first.
- Our printer, PRINTNEWSPAPER, receives a gym's name, contact name and delivery address so it can ship the printed copy.
- Anyone the law requires us to share it with.
Advertisers never receive reader or subscriber lists, or any information that identifies you. We may tell them totals, such as how many subscribers we have, the share who own gyms, or how many readers train at each type of gym.
If the paper changes hands
The Grit Gazette is run by ReyesOne LLC for now and may move to another company in the future. If it does, the information we hold moves with the paper, and the new owner must keep following this policy or tell subscribers about any change by email before it applies.
How long we keep it
- Subscribers: until you unsubscribe or ask us to delete your details.
- Gym requests: while we deliver to your gym, and [TBD: retention period, proposed 12 months] after delivery stops.
- Chats, pitches and ad inquiries: [TBD: retention period, proposed 12 months] after the last message.
- QR scan counts: kept, since they hold no personal information.
Your choices
- Unsubscribe from the email at any time using the link in every email, or by writing to us.
- Ask us what we hold about you, to correct it, or to delete it, by writing to [TBD: contact email]. We will answer within [TBD: response time, proposed 30 days].
- Stop a gym's delivery at any time by writing to us or using the Help chat.
Children
This website is for adults who run or train at gyms. It is not directed to children under 13, and we do not knowingly collect personal information from them. If you think a child has given us information, write to us and we will delete it.
Security
The site uses HTTPS. Staff tools are protected by an access token. No system is perfectly secure, so please do not send sensitive information such as health details or payment card numbers in a chat. We never ask for payment details in chat.
Changes
If we change this policy, we will update the date at the top. If a change affects how we use information we already have, we will tell subscribers by email first.
